Microsoft 365 is a subscription-based software suite offered by Microsoft that includes a range of productivity and collaboration tools, such as Word, Excel, PowerPoint, Outlook, and Teams. It offers a range of subscription plans to meet the diverse needs of individuals and businesses.
Microsoft 365 and Office 365 are effectively the same product. Microsoft 365 is a rebranded version of Office 365. Microsoft rebranded to show that they offer far more than just a suite of Office applications.
Microsoft 365 has 4 business plans which include different tools and features, these include: Microsoft 365 Business Basic; Microsoft 365 Business Standard; Microsoft 365 Business Premium; and Microsoft 365 Apps. The features included with each subscription is below:
- Microsoft 365 Business Basic: This plan is designed for small and medium-sized businesses and provides access to web and mobile versions of Microsoft Office apps, including Outlook, Word, Excel, PowerPoint, and OneNote. It also includes Microsoft Teams and Exchange Online for email hosting with a 50GB mailbox, and OneDrive for Business with 1TB of storage.
- Microsoft 365 Business Standard: This plan includes all the features of Microsoft 365 Business Basic, as well as access to desktop versions of Microsoft Office apps and additional security and management features.
- Microsoft 365 Business Premium: This plan includes all the features of Microsoft 365 Business Standard, as well as advanced security and device management features, and the ability to deploy and manage Microsoft 365 apps on up to five devices per user.
- Microsoft 365 Apps: This plan is designed for enterprise customers and provides access to desktop versions of Microsoft Office apps, including Word, Excel, PowerPoint, and Outlook. It does not include access to other Microsoft 365 services, such as Exchange Online or Teams.
Choosing the right Microsoft 365 subscription for your business depends on a few factors, such as your business size, industry, and the specific needs of your business.
If you have a small business with only a few employees, you may only need the basic Microsoft 365 subscription – Microsoft 365 Business Basic. For larger businesses with more employees, you may need a more comprehensive subscription that includes advanced security and management features and collaboration tools such as Microsoft Teams. In which case you may want to consider Microsoft 365 Business Standard or Microsoft 365 Business Premium.

Whether you would be better using the subscription-based Microsoft 365 will depend on the specific needs and requirements of your business. Although the perpetual version of Microsoft appears to be cheaper since you only make a one-time payment, the subscription-based version includes far more features including OneDrive, SharePoint and Teams. Furthermore, with Microsoft 365 you receive the latest features and software updates as soon as they are released, whereas with a perpetual license you only receive these for a limited time before you need to purchase a new license and therefore, the subscription version of Microsoft can work out more cost-effective.
Additional, with Microsoft 365 you have the ability to scale up or down as required. You can add or remove users depending on your business needs without having to worry about the upfront cost and paying for a license that wont be used.

The number of devices on which you can install Microsoft 365 will depend on which version of Microsoft 365 that you have. However, the majority of customers opt for either Microsoft 365 Business Basic, Standard, or Premium where you can install Microsoft 365 on up to 5 PCs, 5 tablets, and 5 mobile devices per user.
There are different prices for Microsoft 365 depending on which subscription of you have. Below is the pricing for the most popular Microsoft 365 business subscriptions in the UK:
- Microsoft 365 Business Basic- £4.50 per user per month, billed annually.
- Microsoft 365 Business Standard- £9.40 per user per month, billed annually.
- Microsoft 365 Business Premium- £16.60 per user per month, billed annually.
- Microsoft 365 Apps- £7.90 per user per month, billed annually.

You can cancel your Microsoft 365 subscription at any time. The way to cancel your subscription will depend on how you purchased it. If you purchased it directly from Microsoft then you must cancel it through the Microsoft 365 admin centre. If you purchased your Microsoft 365 subscription through a reseller or third-party you will need to contact them directly.
