WiFi Site Survey Guide

This guide explains how wireless coverage, capacity and interference behave across your environment before you deploy or change WiFi infrastructure.

What is a WiFi Site Survey?

A WiFi Site Survey assesses the radio-frequency environment and wireless network coverage within a physical location. It may use predictive, passive or active methods to evaluate signal strength, signal-to-noise ratio, interference, channel use, roaming, access point placement, capacity and expected user or device density.

Who it’s for

Offices, warehouses, campuses, healthcare, hospitality, retail, education and other environments where reliable wireless coverage and capacity matter, whether for a new deployment or an existing WiFi network.

Common use cases

Corporate offices Meeting rooms, collaboration spaces and flexible work areas with changing user density
Warehouses & logistics Large open spaces, racking, scanners and mobile devices with challenging RF propagation
Healthcare facilities Hospitals and clinics supporting clinical devices, voice, staff and guest wireless
Hotels, retail & hospitality Guest-facing locations with variable occupancy and high device turnover
Schools & universities Classrooms, lecture spaces and campuses with large numbers of concurrent users
Manufacturing & industrial sites Factories and operational environments using scanners, tablets, IoT and industrial wireless devices

Why Organisations Perform Wireless Site Surveys

Understand wireless conditions so connectivity, performance and deployment decisions are based on measured RF evidence.

Identify Coverage Gaps

Find areas with insufficient signal before poor coverage affects reliable client connectivity across the environment.

Resolve Interference Issues

Detect competing RF signals that are affecting wireless performance and creating an inconsistent user experience.

Improve WiFi Performance

Use measured RF conditions to improve throughput, roaming and overall wireless experience for users and devices.

Validate AP Placement

Confirm access point locations and radio settings still align with the physical environment and design objectives.

Plan for Density

Ensure wireless capacity matches expected numbers of concurrent users, devices and application demand.

Support WLAN Changes

Provide RF evidence to guide new deployments, upgrades, relocations and post-deployment wireless validation.

Common Wireless Challenges

Wireless assessments commonly identify coverage, interference and capacity issues that can affect connection quality and performance.

Coverage Gaps

Distance, building materials, obstructions or limited access point coverage can leave some areas below required signal levels.

RF Interference

Non-WiFi devices, neighbouring networks and other radio sources can raise the noise floor and reduce throughput.

Channel Congestion

Too many access points or clients on the same or overlapping channels can cause contention and retries.

Poor AP Placement

Unsuitable access point locations, heights or orientations can create weak coverage, excessive overlap and inefficient radio distribution.

Insufficient Capacity

Coverage may exist but still struggle under high client density, concurrent use or large numbers of IoT devices.

Environment Changes

New walls, racking, machinery, furniture or usage changes can alter RF behaviour and invalidate older wireless designs.

WiFi Site Survey: Assessment Approaches

Choose the survey approach based on whether design, measurement or deployment validation is needed.

01
Approach

Predictive Site Survey

Best suited to

New buildings or refurbishments needing AP coverage modelled before installation.

Advantages
  • Provides an efficient initial design
  • Estimates AP quantity, placement and coverage
Considerations

Predictions depend on accurate floor plans and material assumptions.

02
Approach

Passive Site Survey

Best suited to

Existing wireless environments needing RF coverage and channel use measured.

Advantages
  • Captures real radio conditions across the site
  • Identifies dead zones and channel issues
Considerations

It measures RF conditions rather than application performance.

03
Approach

Active Site Survey

Best suited to

Environments needing client performance and roaming validated against service requirements.

Advantages
  • Tests the network from a client perspective
  • Exposes issues passive measurements may miss
Considerations

Requires association to the production or test WLAN.

04
Approach

Post-Deployment Validation Survey

Best suited to

New or changed WiFi deployments needing coverage and roaming confirmed.

Advantages
  • Verifies deployment against design targets
  • Identifies installation deviations for tuning
Considerations

Should be performed after the site is representative.

How Our WiFi Site Survey Guide Works

The survey follows a structured six-stage process, from planning and site review through measurements, analysis, design validation and reporting.

Stage 01 Survey Planning

We work with you to define the areas, applications and usage that matter most, along with expected demand, performance needs and any site access limits. This sets the survey against real business activity rather than a generic coverage target.

Assessment Checklist

Before the assessment begins, we will ask you to provide, share or arrange the information, access and documentation needed for the review.

Site Floor Plans

Provide current floor plans for all areas in scope, including dimensions, walls, room usage, building materials and restricted areas where available.

Wireless Requirements

Document the required wireless coverage, capacity, roaming, availability and performance outcomes, including target areas, user density and application-specific needs.

Existing AP Locations

Provide current or planned access-point locations, AP models and mounting information for the sites included in the assessment.

Controller & Management Access

Arrange read-only access to wireless controllers, cloud-management portals or monitoring systems where an existing WLAN is being assessed.

Client & Device Requirements

Describe the client estate and device mix, including client types and any known frequency-band or roaming requirements.

Known Coverage Issues

List known dead zones, weak-signal areas, roaming or interference issues, congestion and locations where users regularly report poor performance.

Our Wireless Assessment Best Practices

These principles guide how we assess RF conditions, review wireless design assumptions and validate coverage, capacity and change impacts.

Assess RF Before Deployment

We assess the RF environment before new or materially changed wireless infrastructure is finalised so AP quantity and placement reflect measured conditions.

Review Coverage and Capacity

We assess signal coverage alongside client density, throughput, roaming and application requirements because signal strength alone does not confirm usable capacity.

Analyse RF Interference

We identify co-channel interference, neighbouring networks, physical obstructions and non-WiFi RF sources to inform channel, power and placement recommendations.

Validate AP Placement

We compare proposed or installed AP locations with survey evidence, cabling constraints, antenna characteristics and intended coverage areas.

Test Representative Clients

We assess representative client types and applications where appropriate because radios, devices and usage patterns can experience the same WLAN differently.

Reassess After Changes

We account for changes to building layout, occupancy, materials and wireless infrastructure when determining whether earlier survey assumptions still remain valid.

Assessment Deliverables

You receive documented wireless findings, RF analysis and design recommendations based on the surveyed areas and the access-point environment reviewed.

WiFi Site Survey Guide FAQ

When do we need a WiFi site survey?

A WiFi site survey is useful when coverage, capacity or reliability is uncertain, or before an office move, redesign or wireless refresh.

It helps when users report dead zones, roaming problems or inconsistent service, even if access points show a signal. We assess the radio environment and building requirements to inform coverage and deployment decisions.

Why do users still have poor WiFi when the signal looks strong?

Strong signal strength does not guarantee good WiFi; interference, airtime contention, client behaviour or upstream network issues can still affect performance.

We assess more than signal level, looking at channel use, noise, access point load and the wired connection. This helps distinguish a radio design issue from congestion or a switching, authentication or application problem.

Do we have enough wireless capacity for busy periods?

We compare user and device density, application demand and available airtime to assess whether WiFi can handle busy periods in high-density areas.

Capacity depends on how many clients share each radio and what they do, not simply the number of access points. We identify busy areas where additional capacity, channel planning or a different access point design may be needed.

Is interference causing the problem?

We measure channel utilisation and radio noise to identify interference from neighbouring networks or other devices affecting WiFi performance and coverage.

The survey helps locate where interference occurs and whether it overlaps with high-demand areas or important coverage zones. Findings can inform channel changes, access point placement or further investigation of non-WiFi sources.

Are our access points in the right places?

We compare access point locations and coverage with the building layout, materials, client requirements and areas where reliable service is needed.

Walls, floors, furniture and changing room use can affect radio coverage. The survey identifies weak or overlapping areas and informs whether access points should be repositioned, added or configured differently.

Could our switches or Power over Ethernet (PoE) supplies be limiting WiFi performance?

Yes, switch capacity, uplink congestion or insufficient PoE can limit access point operation and wireless performance when demand is high.

We check access point connections, switch port capability, power negotiation and uplink capacity alongside the radio environment. This helps identify wired infrastructure constraints that a wireless redesign alone would not resolve.

Can the survey tell us what needs to change before a wireless refresh or rollout?

Yes, the survey can inform access point placement, radio design, capacity requirements and any wired infrastructure changes needed before deployment.

We relate the findings to user density, building plans and application requirements. This gives your team a basis for specifying equipment and planning installation, while highlighting areas that need validation during rollout.

Will the assessment disrupt live services, and what happens during it?

A survey is usually observational and does not require changes to the live WiFi network, so users can normally continue working.

We agree survey areas and access requirements with your team in advance. If configuration testing or changes are needed, we schedule them separately and confirm any impact before proceeding with testing.

What will we be able to decide once the assessment is complete?

You will have evidence to plan access point placement, capacity, channel settings and wired changes for the required wireless experience.

The findings show where coverage or performance falls short and what design changes may address it. Your team can use them to compare rollout options, prioritise problem areas and plan a wireless refresh.

Can Steel City Consulting help us act on the findings?

Yes, we can turn survey findings into a wireless design and support compatible equipment selection, sourcing, deployment and ongoing optimisation.

We can work with your team from survey through rollout, checking that the design suits the building, users and wired network. Discuss your WiFi requirements with our team to plan a practical next step.
